  • You will handle several tenders (RFP/RFI/RFQ) simultaneously. Deadlines are met through effective prioritisation and progress monitoring.
  • You will collaborate externally with our clients and internally with various business units (Sales, Finance, Project Management, Engineering, Legal).
  • You will ensure that Averna’s business proposal is well aligned with the client’s expectations and meets the specified standards.
  • You prepare tender documents and coordinate all activities involved in determining effort and cost estimates
  • You ensure that all regulations relating to government clients are complied with (pricing regulations, public tenders, export controls, confidentiality levels, security regulations)
  • Where necessary, you work with the procurement team to determine and verify material costs and lead times.
  • You ensure that the correct information is available and work with the Sales Manager to develop the pricing strategy, as well as with the Finance Department to establish the cost structure.
  • You communicate in a timely manner with internal stakeholders (Sales Manager, senior management) in the event of a contractual deviation or discrepancy regarding the fulfilment of a customer requirement.
  • You will review and approve orders, including checking the terms and conditions of sale (both commercial and, at the very least, legal). You will liaise with customers as required to coordinate any changes.
    You will plan and chair all related meetings, including commercial business meetings, to discuss proposals for approval by senior management.
  • You will act as the point of contact for project kick-off teams and the invoicing department.
  • You will carefully record all related activities and approvals using the CRM tool (Salesforce).
  • You review and approve quotations prepared by other colleagues.
  • You provide administrative support to the Sales Manager with all logistical tasks required for the conclusion of contracts (supplier forms, issuing certificates, etc.) in both the private and public sectors

These skills are needed

  • Qualifications: Bachelor’s degree in Business Administration or a related field.
  • Experience in preparing quotations and carrying out cost analyses. Working experience with clients in the public sector is an advantage.
  • Skills: Very good knowledge of the Microsoft Office suite (Word, Excel, PowerPoint); knowledge of public pricing regulations and public procurement regulations is an advantage.
  • Desirable: Knowledge of the electronics, telecommunications, aerospace and automotive industries.
  • Experience with Salesforce (as an administrator or developer)
  • Results-oriented: Excellent communication and interpersonal skills, as well as the ability to multitask and set priorities.
  • Outstanding analytical skills and attention to detail.
  • Fluent English and German skills are essential.
